New for 2017 -- The overall coordinator will e-mail all layout owners in the database and ask them to contact regional coordinators to schedule their events. During the scheduling window, several reminder e-mails will be sent out as well. The efficiency of the online scheduling system also allows for the scheduling window to be reduced and held closer to the open house month of November. We will schedule between September 1st through 20th, where it previously was August 15th through September 15th.

Regional coordinators work with their NMRA division's editor(s) to market the open house in their division's newsletter.

|September 1-20||Venue owners contact their regional coordinators and provide event dates and times. Regional coordinators enter events into web site.|
|October 1||The schedule is published.|
|October||The Model Railroad Open House will post messages to various online forums advertising the open house; repeated on a weekly basis.
Regional coordinators, as appropriate, coordinate marketing through local NMRA division as well as hobby shops.

|Year Round||Regional coordinators work with existing venue owners to update their venue description, if desired. Regional coordinators work to solicit new venue owners to enter the venues into web site.|
As a regional coordinator, when you login to this site (Registration Information), additional choices appear under the For Regional Coordinators menu...
Add Venue - Allows the regional coordinator to add a new venue. The overall coordinator must "publish" the venue before events may be created for the venue.
My Venues - Displays a list of all venues assigned to the regional coordinator. You may edit venues from the list.
Add Event - Allows the regional coordinator to add events for existing venues. They will be in a non-published state until the overall coordinator "publishes" them.
My Events - Displays a list of all events assigned to the regional coordinator. You may edit events from the list.
These instructions may seem daunting at first, but I assure you that you will be able to create a venue in under five minutes and an event for a venue in about two minutes. It is really easy and intuitive!
Venues must be created before their Events may be created. Further, once entered, the overall coordinator must approve and "publish" the venue before events may be created.
When you have created a new event, please inform the overall coordinator that the venue is in "pending" status. Also, provide the e-mail address of the venue owner; phone number is optional.
Select Add Venue under the For Regional Coordinators menu...
For consistency, please name the venue Person/Club's Name of Layout.
Make sure the "Add a map link" check box is checked. This will allow Google Maps to create maps automatically.
Finally, click on the Other tab and enter info for four demographic fields. There are 10 shown, but please ony use the first four, as follows:
Restrictions: Owner policies about children, parking, ADA accessibility, etc.
Power: DC or DCC, brand of DCC if applicable, any use of CMRI or JMRI, etc.
Affiliations: Groups such as the NMRA, NRHS, railroad historical societies, etc.
Be sure to click Save when your edits are complete.

The table at the bottom lists all of the published events for the venue. Clicking on the linked title of an event offers an opportunity to edit the details of the event (discussed below).
Underneath the name of the venue is a box with the word "Venue" followed by an icon signifying "edit venue". It will indicate so if you hover over the icon. Clicking on the icon will allow you to edit the Venue information. Follow the same instructions for editing an existing venue as you did for adding a new venue.

The second icon allows a regional coordinator to create a new event. It is important to note that the new event will not be "published" to public view until the admin reviews and approves the new event (a simple step).
NOTE: Please ignore all fields not specifically addressed.
For consistency, please name the event Person/Club's Open House. For purposes of the Model Railroad Open House, the start and end date should be the same. For open houses on adjoining days, please create separate events.
The start and end times feature two pop-up menus each. For each, the first is the hour, in 24 hour format, and the second is for minutes. In the Category section, click on the Open House line.
A description is optional. Keep in mind that a description will show as part of the venue data.
Click on select under the Venue heading. Select the correct venue from the list.
Be sure to click Save when you have made all of the entries. Please do not add/change data in any other fields.
